Apostille FAQ (New York)
Clear answers for Russian/Ukrainian-speaking clients worldwide. If you’re not sure what you need, start with a free document review.
Do I need an apostille or “authentication”?
It depends on the country where you will use the document. Hague Convention countries usually require an apostille. Non-Hague countries usually require a Certificate of Authentication (a different process). Tell me the destination country and I’ll confirm the correct route before you pay.
Can I get an apostille for a document notarized online (NY RON)?
Yes — if the notarization is performed by a New York notary. Many notarized documents must be authenticated by the County Clerk where the notary is commissioned or qualified before the New York Department of State can issue the apostille.
I live outside the U.S. Can you still help me?
Yes. Many clients are abroad (Europe, Israel, Ukraine, and more). When eligible, notarization is completed online, then apostille routing and tracked return shipping are coordinated for you.
Which New York documents can be apostilled?
New York can apostille public documents issued in New York, such as certain vital records, court documents, and properly prepared notarized documents. Documents issued by another state must be apostilled in that state.
What is the most common reason apostille requests get rejected or delayed?
Most delays happen when the required chain is incomplete: correct notarization or certification, County Clerk authentication when required, and then the New York Department of State apostille. A quick pre-review usually prevents delays.
How much does New York charge for the apostille itself?
The New York Department of State charges a state fee per document. Additional costs may apply for certified copies, County Clerk authentication, shipping, or optional expedited handling depending on your situation.
Do you need the original document?
Sometimes, yes. Many vital records require an eligible certified copy. For notarized documents, the signed notarized original is usually required for County Clerk authentication. I’ll confirm exactly what’s needed during pre-review.
Does my document need translation (Russian / Ukrainian / English)?
An apostille certifies the signature or seal, not the language. Many foreign authorities still require a certified translation for filing. Tell me the destination country and purpose and I’ll flag common translation requirements.
Can I mail documents to the New York Department of State? Do they offer walk-in service?
Yes. The New York Department of State accepts apostille requests by mail and also offers walk-in service at specific locations. For clients abroad, mail with tracked return shipping is usually used.
What information do you need from me to start?
1) Destination country, 2) document type, 3) where it was issued (New York or another state), 4) whether it’s already signed or notarized, and 5) your deadline. I’ll confirm the correct path and pricing before you proceed.
